Billing Specialist

Doerner is seeking a billing specialist for our accounting department. Position can be located in our Tulsa or Oklahoma City office. Successful candidates should be able to perform accounting and clerical tasks related to the efficient maintenance and processing of billing to clients. Ideal candidates are required to have at least 3 years of accounts receivable experience. Successful candidates should have knowledge of e-billing processes, knowledge of accounting procedures, proficient in data entry and management, proficient in relevant computer application, attention to detail and accuracy, confidentiality, organizing and prioritizing skills, problem solving skills, and creative-thinking skills.

Essential Job Tasks:

  • Prepare a missing time report and coordinate with the attorney and/or secretary to verify the accuracy of the missing time
  • Process and distribute pre-bills
  • Correct all billing and distribute based on attorney instructions
  • Set up and process all electronic billing
  • Update billing history, electronic billing and exception list reports
  • Prepare manual bills when necessary
  • Set-up fee schedules
  • Set up new bill designs
  • Maintain client’s master billing records
  • Generate all invoicing to customers
  • Review customer profile set up and billing
  • Assist in processing conflict checks
  • Process any requested billing reports for members of Firm
  • Post all time entries and resolve any missing time issues
  • Handle client inquiries

Other Tasks:

  • Enter daily cash receipts
  • Assist attorneys and/or secretaries with accounting related questions
  • Assist clients with accounting related questions
  • Open new client files
  • Assist with payables in accounting clerk’s absence
  • Verify all payments are applied to the correct client and invoice number
  • Call in credit card payments
  • Assist accounting manager with any assigned tasks
  • Assist accounts receivable and accounts payable clerks as needed
  • Frequent interaction with attorneys, staff and clients; should be able to work with minimum supervision.

Legal Administrative Assistant

Doerner is seeking a legal administrative assistant in our Tulsa office. Candidates should have a minimum of 3 years of law firm experience.

Essential Job Tasks:

  • Prepares correspondence, memoranda and other legal documents from written and oral drafts; drafts standard correspondence, and other documents.
  • Files pleadings in State and Federal Courts (must be familiar with state and federal court rules)
  • Screens telephone calls and records messages.
  • Reads, sorts and dates incoming mail. Ensures that outgoing mail is timely delivered. If necessary, routes mail to specific delivery service and follows up on timely delivery.
  • Establishes and maintains calendar and deadline reminder systems; utilizes master calendar system.
  • Under timekeeper supervision, opens new files, requests conflict of interest checks, and maintains all client and general files. Prepares files to be closed.
  • Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship.
  • Makes appointments for timekeeper(s).
  • Enters billable time in time-keeping system, assists timekeepers in processing pre-bills, as requested.
  • Assists other secretaries in backup secretary capacity, as requested.
  • Attention to detail, organizational skills and initiative are imperative.
  • Must be forward-thinking and have strong problem-solving skills.
  • Ability to proof and perform editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters.
  • Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 70 wpm.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to proofread typed material for grammatical, typographical or spelling errors.
  • Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.
  • Interpersonal skills necessary to communicate in person, by e-mail and telephone to provide information with ordinary courtesy and tact.
  • Work occasionally requires a high level of mental effort and strain while producing a high volume of information while performing other essential duties.
  • Work occasionally requires overtime to perform essential duties.
